Who we are

The Trellis Studio is the brand of Trellis Works LLC, a small, family-run company in Washington State, USA (“we,” “us”). This policy covers our website at www.thetrellisstudio.com and our client portal at portal.thetrellisstudio.com. Our apps, Learning Camp and Tempo Lab, have their own privacy policies.

What we collect

We collect only what we need to answer you and do the work.

• Browsing our website. We do not require an account, run ads, or use advertising trackers. Our hosting provider keeps standard server logs (such as IP address and pages requested) for security and reliability. The site loads its fonts from Google Fonts, which means your browser contacts Google. Your light or dark theme choice is saved in your own browser and is never sent to us.
• Contacting us by email. The contact form on our home page opens your own email app. We only receive what you choose to send.
• Project requests. When you use the request form, we collect your name, email, company, phone number (optional), the services you are interested in, your answers to our questions, budget and timeline, and how you heard about us. While you fill in the form, your answers are saved in your own browser so a refresh does not lose them. We do not receive them until you press send, and they are cleared from your browser once it is sent. To limit spam, we also use a scrambled (hashed) version of your IP address to count how many requests come from one place. We do not store the readable address for this purpose.
• Client portal. If you are a client, we collect your sign-in details (your email and name, whether you sign in with an emailed code or with Google), and the content of your project: milestones, updates, files and links we share, comments you write, approvals, invoices, and a record of when you accepted a statement of work.
• Payments. Card payments are handled by Stripe. We never see or store your card number. We keep invoice records and payment status.

How we use your information

• To respond to your request and prepare a proposal.
• To run your project and keep you informed through the portal and email.
• To send invoices and take payments.
• To keep our services secure, prevent abuse, and meet legal and tax obligations.

We do not sell your personal information, and we do not use it for advertising.

AI-assisted proposals

To help us write proposals faster, we use an AI service to draft a first version from the answers in your project request. We send it the text of your request only, never payment details, and a person at our studio reviews and edits every draft before it reaches you. If you would prefer that your request not be processed this way, tell us when you submit it and we will write it by hand.

Who we share information with

We share information only with service providers that help us operate, under their own security and privacy terms:

• Clerk, for sign-in and account security.
• Google, for optional “Sign in with Google,” our business email, and the AI drafting service described above.
• Stripe, for payments.
• Neon, for the database where portal data is stored.
• Netlify, for website and portal hosting.
• Cloudflare, for domain name services.

We may also disclose information if required by law, or to protect our rights, our users, or the public. If our business is ever sold or reorganized, your information may transfer to the new owner under the same protections.

How long we keep it

We keep project information while we are working together and afterward for as long as we reasonably need it for records, tax, and legal reasons. If you sent a request that did not become a project and you would like it deleted, email us and we will remove it.

Your choices

You can ask us to see, correct, or delete the personal information we hold about you by emailing help@thetrellisstudio.com. We will respond within a reasonable time and may need to confirm who you are first. Some records, such as invoices, we may be required to keep.

Security

We use encryption in transit, access controls, and reputable providers, and portal files are only available to the people on that project. No system is perfectly secure, but we work to protect your information and keep what we collect to a minimum.

Children

Our website and portal are for businesses and adults and are not directed to children under 13. We do not knowingly collect information from children through them. Our children’s apps are covered by their own policies.

Changes to this policy

If we change this policy, we will update the date above, and for significant changes we will tell portal users by email.
